COUNSEL POLICY

POLICE AND FIRE RETIREMENT SYSTEM BOARD OF TRUSTEES
OUTSIDE LEGAL COUNSEL POLICY
Subject to applicable confidentiality requirements and ethical obligations, and limited to the
scope of services provided to the Police and Fire Retirement System, the Chair of the Police and
Fire Retirement System Board of Trustees shall be notified by Outside Legal Counsel of any and
all inquiries made of Outside Legal Counsel, including inquiries made by City administration.
Any and all inquiries of Outside Legal Counsel from members of the Police and Fire Retirement
System Board of Trustees must be discussed at a meeting of the Police and Fire Retirement
System Board. After questions or requests for information are formulated at a Board of Trustee
meeting, the Chair of the Board or his or her designee will reduce that request for information to
writing to be transmitted to Outside Legal Counsel.
No individual Board Member is allowed to contact Outside Legal Counsel. Any and all requests
from the Board will generate through the Board Chair or his or her designee.
All information will be presented back to the Chair and then review by the Board of Trustees at
their next scheduled or special Board meeting.
Outside Legal Counsel can contact the Board Chair or his or her designee with a request to be
placed on the agenda or to hold a special meeting to discuss issues of education, training or
legislative information that may be beneficial to trustees in fulfilling their role on this Board.
Whenever beneficial both the Police and Fire Retirement System Board and the Employees'
Retirement System Board can meet for educational training purposes.
Final review for any suggestions of policy or procedures from Outside Legal Counsel will be
done by the City Attorney's Office.
